Documents for exporting goods from Zambia
Export documents should tell one consistent story about the goods, seller, buyer, destination and transport route. ZRA guidance identifies commercial invoices, manifests, packing lists, consignment notes, permits and other supporting records as relevant to commercial exports depending on the shipment.
We recommend starting with a shipment-specific checklist before fixing a dispatch date.

Commercial invoice and product description
Include exporter and consignee details, the goods, quantity, agreed price, currency and destination. Accurate descriptions are especially important where goods can fall under different customs categories.
Check that the invoice agrees with the actual consignment and any sale agreement; avoid vague descriptions that the buyer or customs officer would need to interpret.
Packing list and transport documents
A packing list can help establish the cartons, pallets, item quantities and weights. The road consignment note, cargo manifest or other applicable transport document identifies movement details and must be consistent with the invoice and packaging records.
Confirm the chosen route and exit point with the transporter so that shipment details and planned declarations do not conflict.
Certificates of origin and trade preferences
Certificates of origin may be requested by the destination market or used to support a preferential trade claim. The right certificate and proof depend on the relevant trade scheme and the rules of origin.
Ask about origin documentation early. The fact that goods were purchased or shipped from Zambia does not always establish their preferential origin.
Commodity-specific approvals and export restrictions
Certain goods require export permits or certificates from competent authorities. Controls may depend on commodity type, quantity and destination. ZRA also identifies prohibited categories that cannot legally be exported.
If your shipment contains agricultural products, animal products or other regulated commodities, share an accurate description so you can confirm the approvals applicable to the proposed movement.
Exporter TPIN and customs declaration
ZRA states that exporters need a TPIN and that goods for export are declared to Customs by the exporter or a customs clearing agent. Export guidance describes customs processing requirements that may include inland procedures before exit.
If you are planning a temporary export for repair or processing, identify that purpose clearly because different provisions may apply.
