Import customs clearing for goods entering Zambia

We assist businesses and individuals with import-clearing enquiries for goods entering Zambia. Our starting point is the consignment itself: what you purchased, where the goods originated, how they are moving, and which customs station is involved. With these details, we can identify the documentation you should assemble and discuss the clearing work required.

A good import enquiry begins before a truck reaches a border or cargo is collected from a freight terminal. Early review is especially useful when commercial invoices are incomplete, the product description is vague, or the supplier has not yet confirmed shipping details.

What to send us for an import-clearing quotation

Send your commercial invoice or pro-forma invoice if the final document is not yet available. Include a product list showing quantities, unit prices, currency, product descriptions, supplier country, intended delivery point and proposed entry station. Share any packing list or transport document you already have.

For machinery or equipment, provide make, model, function, serial or chassis details where relevant, condition and technical specifications. For vehicles, identify the make, model, year, engine details and purchase documentation. These details help us assess the nature of your enquiry; they do not by themselves establish whether a specific permit or concession applies.

Commercial goods, vehicles and equipment need different preparation

A shipment of packaged retail goods may involve dozens of separate product lines that should be described individually. A single machine may need detailed brochures to support tariff classification, while a motor vehicle may require identifying particulars and supporting ownership records.

We review the type of shipment before discussing the applicable declarations, authorisations and information required. We do not treat every cargo category as if it follows the same checklist.

Commercial invoices, packing lists and transport records

The commercial invoice normally establishes the parties, goods, quantities, prices and sale terms. A packing list describes how goods are packed and helps reconcile the consignment with what is declared. Depending on transport mode, the shipment may also have a road manifest, consignment note, airway bill or bill of lading.

We recommend comparing these documents before arrival. A discrepancy in quantities, product names or shipping information can create questions that are easier to resolve with the supplier before declaration than after the goods are presented.

How customs value and classification affect charges

Zambia customs calculations depend on the goods and the law applicable to their classification and valuation. The customs value may include relevant transport and insurance costs up to the applicable point of entry. Origin and eligible preferential treatment can also matter when the necessary conditions and evidence are met.

We distinguish government duties and taxes from the professional fees for clearing services. A quotation for our work is not a final customs assessment. The applicable tax treatment and release decisions remain with Customs.

Permits, restrictions and product-specific approvals

Some products require permission or certification from a competent authority, while others are restricted or prohibited. If your goods include agricultural products, regulated chemicals, animals, medicines or other controlled categories, give us a complete description and any existing permits so we can establish which approvals need checking.

Do not assume a supplier invoice or certificate of origin replaces a commodity-specific permit. Requirements depend on the goods and the circumstances of importation.

From document review to customs release

Once we understand your shipment, we can discuss the information needed for customs formalities and whether any records are missing. For qualifying commercial cargo, customs declarations may be prepared electronically before arrival; Customs can assess charges, request further information, examine the goods or authorise release as appropriate.

We explain the next steps in plain language, including which information you must supply and which decisions belong to the customs authority. We will not promise automatic release or a fixed clearance time for a consignment we have not assessed.

Import clearing support throughout Zambia

From our Livingstone office, we receive import-clearing enquiries from customers in Lusaka, Ndola, Kitwe and across Zambia, including shipments moving through key border corridors. Tell us the actual route and intended customs station, because the best preparation depends on where the cargo is entering and how it will move onward.

For route-specific preparation, explore our guides to Kazungula clearing, Chirundu clearing, and Nakonde clearing.

Start with the documents you already have

You do not have to know every customs term before contacting us. Tell us what you are bringing into Zambia and share the documents available. We will discuss the missing details needed for a useful clearing enquiry.

Frequently asked questions about clearing in Zambia

Can I enquire before my goods arrive? Yes. Send the goods description, documents available, transport route and intended entry or exit station. Early preparation can help identify missing details.

Are government duties included in your clearing fee? Government duties and taxes are separate from professional service fees. The relevant customs authority determines statutory assessments.

What if my invoice is incomplete? Share the records you have and ask your supplier for the missing product, quantity, price or transaction details. Accurate documentation is important for a useful enquiry.

Do you assist customers outside Livingstone? Yes. We serve importers and exporters throughout Zambia from our office in Livingstone; tell us the actual customs route for your consignment.

What makes an import quotation more accurate?

The invoice value is only one input. We also need to know the full goods description, quantity, country of origin, transport mode, intended crossing or station and intended customs procedure. Product-specific certificates and permits can change the documents needed.

If your purchase has not been shipped, we can still discuss the enquiry using a pro-forma invoice. Tell us when final documentation is expected; a preliminary discussion should not be mistaken for a final customs assessment.

Before the transporter leaves: a useful preparation sequence

First, check that your supplier has named each item clearly and shown consistent quantities and currency across the paperwork. Next, confirm the transporter’s route and the receiver’s details. Finally, collect any permits or certificates that may apply to the specific goods.

A complete document set can reduce avoidable back-and-forth, but inspection, valuation checks and release decisions remain with the relevant authorities.

Questions we can address about your import

We can discuss which shipment details should appear in your clearing enquiry, what information is still missing and how to distinguish customs-related charges from our service quotation. For technical product classifications or regulated goods, supporting specifications may be needed before the applicable requirements can be assessed.
