How to reduce avoidable customs-clearing delays
Not every customs delay is preventable: inspections, regulatory checks and official processing are part of customs control. But importers and exporters can reduce avoidable problems by submitting clear, consistent and complete information before their cargo reaches a critical handover point.
We help customers focus on the details that can be checked early rather than promising that all consignments will clear within a fixed time.

Mismatch between invoice and physical goods
The invoice may list one quantity, the packing list another, and the goods in the truck something else. A product may be described too generally to identify its tariff classification. These errors can prompt questions or require correction.
Check product descriptions, units, quantities, weights and identifying details across all records before dispatch.
Missing or late permits
Some goods need product-specific import or export permissions. Discovering a missing approval only after arrival can create substantial practical difficulty.
Ask your supplier for technical product information early and establish whether a competent authority must authorise the goods.
Unclear routing and transport documents
A consignee may say the goods are coming to Lusaka without knowing whether the entry point is Chirundu, Kazungula, Nakonde or another station. The customs route matters for the declaration and transport records.
Confirm transport mode, border point, onward destination and planned timing with the carrier, and pass these details to your clearing contact.
Customs value and classification questions
Customs can examine whether the commodity and declared value are supported by the evidence. Technical brochures, invoices, contracts, payment records or freight information may help answer questions.
Do not deliberately reduce invoice values or use an inaccurate description to chase a lower tax assessment. Reliable records protect the shipment and the trader.
Missing agent authorisation
An importer or exporter may expect an agent to lodge a declaration before completing the appropriate electronic appointment process. ZRA’s authorised appointment mechanism helps ensure traders control who can act on their behalf.
Review this requirement early using our agent appointment guide.
