Start before cargo reaches the border
A pre-arrival review can help identify documents and shipment details that are easier to correct while the supplier and transporter are still reachable. We recommend gathering the essential information as soon as shipping arrangements become clear.
Your preparation should reflect the actual goods and route rather than a one-size-fits-all list.

Confirm your goods and supplier records
Check product names, quantities, prices, currency, supplier and buyer details. For machinery or vehicles, collect identifying specifications. Resolve invoice discrepancies rather than expecting the clearing process to fix an inaccurate sales document.
Check the physical packaging and transport records
Where relevant, compare the packing list with invoice quantities and the transport manifest. Confirm the truck or shipment reference, intended entry station and final delivery location with the carrier.
Check permits and customs authorisation
Identify any commodity-specific approvals before departure. Make sure your importer details are accurate and review whether formal clearing-agent appointment is required through ZRA’s authorised system.
Where you are unsure of the controls on a commodity, collect product details and ask for the appropriate official guidance before dispatch.
Separate customs charges from delivery expenses
Plan for more than the purchase price. Freight, insurance, government duties, applicable taxes, agency services and possible handling charges may be separate cost categories.
Do not treat a preliminary cost discussion as a final tax assessment.
